Creating Templates
Templates are the core of Quick Updates. Each template is a reusable piece of text — with optional rich formatting and smart variables — that you can apply to any item’s Updates section.
The Template Editor
Section titled “The Template Editor”Click New Template to open the editor. Each template has these fields:
| Field | Description |
|---|---|
| Name | A short, descriptive title for the template |
| Category | Optional grouping label (e.g., “Status”, “Handoff”) |
| Visibility | Personal (only you) or Team (everyone on the account) |
| Body | The template content with rich text and variables |
Rich Text Formatting
Section titled “Rich Text Formatting”The editor supports full rich text:
- Bold and italic text
- Bullet and numbered lists
- Tables
- Links
- Code blocks
The formatting is preserved when the update is posted to monday.com.
Categories
Section titled “Categories”Categories help organize your template library. They’re free-text labels — type any name and it becomes a category.
Common examples:
Status UpdatesOnboardingHandoffsFollow-upsEscalations
Use the category filter in the template picker to find templates quickly.
Personal vs. Team Templates
Section titled “Personal vs. Team Templates”| Scope | Who can see it | Who can edit it |
|---|---|---|
| Personal | Only you | Only you |
| Team | Everyone on the account | Only the creator |
Start with personal templates for your own workflows. When you have a template that works well, change it to Team visibility so others can use it too.
Managing Templates
Section titled “Managing Templates”Edit a Template
Section titled “Edit a Template”Click the edit icon on any template card in the picker. Changes take effect immediately for future uses.
Duplicate a Template
Section titled “Duplicate a Template”Click the duplicate icon to create a copy. Useful for creating variations of an existing template (e.g., same format for different project phases).
Delete a Template
Section titled “Delete a Template”Click the delete icon and confirm. This action cannot be undone.
Starter Templates
Section titled “Starter Templates”When you first install Quick Updates, a set of starter templates is available to help you get going:
- Weekly Status Update — A structured status report with date and assignee
- Task Handoff — Transition notes for handing work to a colleague
- Completion Notice — Mark an item as done with a summary
You can use these as-is or duplicate and customize them.
